We hold the address of your home and, on some jobs, how to get into it. That is a serious thing to be trusted with, and this page sets out plainly what we collect, why, who else sees it, and how to make us delete it.
Who we are
The data controller is Camyabco Ltd, trading as White Glove Pro, company number 13058807, registered in England and Wales. Our registered office is published at Companies House and is available on request.
For anything to do with your data, email services@whiteglovepro.co.uk or call 07392 826909. A person reads it, not a ticketing system.
What we collect
- Who you are: name, email address, phone number.
- Where the work is: the property address and postcode.
- About the property: type, number of bedrooms and bathrooms, condition, and anything you tell us about it when booking.
- How we get in: where relevant, key arrangements, a key-safe code, an entry code, or the name of the agent holding the keys. We collect this only when you give it to us for a specific job.
- What you asked for and what you paid: the service booked, the price, the date, and the payment reference. We never see or store your card number — that goes directly to Stripe.
- What you tell us in passing: preferences, allergies, a note that there is a nervous dog, anything you add to make the job go properly.
We do not collect special category data, we do not buy data about you from anyone, and the website carries no advertising trackers, no Facebook pixel and no third-party marketing cookies.

We do not send marketing emails unless you have asked for them, and if we ever start, every one will carry a one-click unsubscribe.
Keys, codes and access details
This deserves its own section because it is the part that matters most.
- Access details are recorded against one booking and are visible only to the cleaner assigned to that job and to the office.
- Our booking system is password-protected and the staff area is separate from the public website.
- Access details are deleted within 30 days of the last visit for one-off jobs. For regular customers we keep them for as long as the arrangement runs, and delete them within 30 days of it ending.
- Physical keys are returned to you on request, and always when the service relationship ends.
- If you change a code, tell us and we overwrite the old one.
Photographs
We photograph our work — before-and-after shots of rooms and appliances — to record what was done and, on end of tenancy cleans, to give you evidence for your agent. Those photographs stay with your booking record.
We will not publish a photograph of your property, use it in advertising, or put it on our website or social media without asking you first. If you say yes and change your mind later, tell us and we take it down.
Who else sees your data
We do not sell your data and we never will. It is shared only with the companies that make the service work:
- Cloudflare — hosts this website and the booking database.
- Stripe — takes the payment. Stripe is the card processor and its own privacy terms apply to the card details you give it.
- Resend — sends the confirmation and payment emails.
- Microsoft — our email runs on Microsoft 365, so messages you send us are stored there.
- Our cleaners — the person doing your job sees the address, the access arrangement and the job notes. Nothing else.
- Our accountant and, where we have to, HMRC — invoice and payment records only.
We will disclose data where the law requires it, and to our insurers if there is a claim. Some of these providers operate outside the UK; where that happens the transfer is covered by the UK's approved safeguards, such as the International Data Transfer Agreement or an adequacy decision.
How long we keep things
- Access codes and key details — 30 days after the last visit, then deleted.
- Enquiries that never became bookings — 12 months.
- Booking records, addresses and job notes — 3 years after the last job, so that we can deal with a late complaint or an insurance question.
- Invoices and payment records — 6 years after the end of the tax year, because HMRC requires it.
- Job photographs — 12 months, unless they relate to a dispute that is still open.
Your rights
Under UK GDPR you can ask us to show you what we hold, correct it, delete it, restrict what we do with it, hand it over in a portable format, or stop processing it where we rely on legitimate interests. You can also withdraw consent at any time where we asked for it.
Email services@whiteglovepro.co.uk and we will respond within one month. There is no charge. We may ask you to confirm who you are first — not to be obstructive, but because handing someone's home address to the wrong person is exactly what this policy exists to prevent.
Two limits worth stating honestly: we cannot delete an invoice we are legally required to keep, and we cannot delete records that are needed for a live insurance claim or dispute. Everything else goes.
Cookies
This website sets no advertising cookies, runs no analytics that identify you, and shows no cookie banner because it does not need one. The only thing stored in your browser is what the booking form needs to work while you are filling it in. If that ever changes, this page changes first and we will ask for your consent.
Security
Everything travels over encrypted HTTPS. The booking database sits behind Cloudflare with access limited to the office. Card details are handled entirely by Stripe and never touch our systems. Staff are briefed that customer addresses and access details do not leave the job — not in a WhatsApp group, not to a friend, not anywhere.
If a breach ever occurs that puts you at risk, we will tell you and we will tell the Information Commissioner's Office within 72 hours, as the law requires.
If you are unhappy
Tell us first — services@whiteglovepro.co.uk — and we will try to put it right. You also have the right to complain directly to the Information Commissioner's Office at any time, at ico.org.uk or on 0303 123 1113. Complaining to us first is not a condition of complaining to them.
Changes to this policy
If we change how we handle your data we update this page and change the date at the top. Where a change is significant and affects existing customers, we tell them directly rather than expecting anyone to re-read a web page.
